Cancellation Policy

1. Introduction These Terms and Conditions apply to all services provided by Kingsford Medical Services. By booking or attending an appointment, using our website or engaging with our clinical or administrative team, you agree to be bound by these Terms and Conditions. 2. Definitions For the purposes of these Terms and Conditions: “KMS” refers to Kingsford Medical Services. “Patient” refers to any individual receiving services from KMS. “Services” means any clinical, diagnostic or administrative service provided by KMS. 3. Appointment Bookings 3.1 Appointments may be booked online, by telephone or in person. 3.2 Appointment confirmation will be issued electronically where possible. 3.3 It is the patient’s responsibility to ensure that all personal details provided during booking are accurate and kept up to date. 4. Fees and Payment 4.1 All fees for appointments, treatments and investigations are clearly communicated at the point of booking. 4.2 Payment is required at the time of booking unless otherwise agreed. 4.3 KMS reserves the right to withhold results or reports until full payment has been received. 5. Cancellations and Non Attendance 5.1 Appointments cancelled with more than 24 hours’ notice will be rescheduled without charge. 5.2 Appointments cancelled with less than 24 hours’ notice will be fully chargeable. 5.3 Appointments missed without any notice will be fully chargeable. 5.4 Fees for late cancellations or non attendance are not eligible for refund under any circumstances. 5.5 If KMS needs to cancel or reschedule an appointment, the patient will be offered the next available appointment time. KMS will not be liable for any associated costs or losses. 6. Refunds 6.1 Refunds will only be issued where legally required or where KMS agrees that the service has not been delivered. 6.2 Refunds cannot be issued for completed consultations, clinical advice already provided or any investigation that has been undertaken. 6.3 Refunds will not be given for cancellations made with less than 24 hours’ notice or for failure to attend. 7. Clinical Records and Confidentiality 7.1 All clinical records are maintained in accordance with UK data protection legislation and the Caldicott Principles. 7.2 Information will only be shared with third parties where required by law or where explicit patient consent has been provided. 7.3 Patients may request access to their records in accordance with data protection legislation. 8.
